New Delhi: While acknowledging that the COVID crisis is going to leave an indelible impact on the way organisations function and accelerate the digital transformation journey, state-run BPCL has introduced an uber-cool way for its employees to register attendance — click a selfie. In a major step aimed at overhauling the attendance system, BPCL has introduced e-attendance for its employees irrespective of whether they are working from home or office, showed an internal note accessed by PSU Watch.

"We appreciate the way you have adapted to the changing ways of working and are ensuring that you continue to contribute effectively to your team's goals/Corporation's work. While these new ways of working are essentially a cultural shift, more formalization through systems enablement is necessary for gathering data and enhancing its effectiveness. To further drive this transition, we are now introducing an 'e-attendance' system for recording and managing the attendance of employees," the note said.

How does the selfie attendance system work?

Employees are required to download the 'UBI Attendance' app on their mobile and login using their mobile number. The login credentials are being created in the attendance server. Since the e-attendance software has been procured from Ubitech Solutions Pvt Ltd, staff would receive an email from the same organisation, elaborating login procedures and guidelines.

"Attendance Recording is to be done at the beginning of a normal working day and the end of a normal working day by clicking your picture (selfie)," the note said. The time and location of the staff will be stored by the app automatically. The note also added, "All staff are required to record their first login and attendance from their residence in their HQ location, without any exception. The location coordinates of the residence will be captured and stored as 'Home.'"

E-attendance to be recorded irrespective of where BPCL staffs are working from

The note said that all management employees at BPCL need to record their attendance on the app on all working days and irrespective of whether they are working from home or office/locations or are on official tours. "Staff who are away from their HQ location are advised to record their first login and attendance only after they return to the HQ," the advisory said. If a staff skips the e-attendance registration mistakenly, they can send a mail to their Line Manager by next working day to regularize the attendance. However, if the attendance is not marked on a particular day, it will be treated as a leave.
